Camping Terms & Conditions
Key Dates & Booking Conditions
- Booking deadline: 22 May 2026.
- A late booking fee of £75 + VAT will apply to bookings made after this date.
- Bookings are confirmed upon receipt of payment.
Camping Cancellation Policy
- 30+ days before event: £100 + VAT administration fee
- Within 30 days: no refund
- No refunds for partial reductions (e.g. fewer campers, pitches, or nights)
Access
The campsite is open 24 hours from 17:30 on Monday 13 July 2026 until 12:00 on Monday 20 July 2026.
Access to Silverstone Circuit is available via Gate 5 from Thursday 16 July 2026. Gate 5 will operate in line with event timings, typically between 07:00 and 23:00.
Arrival / Departure
Please check in at the Reception located at the campsite entrance on arrival to be directed to your allocated pitch(es). What 3 words: ///presses.excavated.times
Check-in
- Monday 13 July: Check-in available from 17:30 - 22:00
(Teams are expected to arrive by 22:00 where possible. The campsite will be staffed 24 hours and late arrivals can be accommodated but please let us know ahead of time if you will be arriving after the core check in windows.)
- Tuesday 14 July onwards: Check-in available from 09:00
Please note: If you have booked a pre-erected tent, availability may depend on supplier readiness.
Check-out
- All pitches must be vacated by 12:00 (midday) on Monday 20 July 2026
Camping outside of these times is not permitted.
Conduct & Behaviour
By attending Formula Student, you are representing your university. Please respect the venue, its facilities, staff, and other users at all times.
Keep your area tidy, manage noise levels, and behave responsibly throughout your stay.
Inappropriate conduct may be reported and could impact participation.
Noise
No loud noise is permitted after 23:00. Please keep noise to a minimum between 23:00 and 08:00.
This curfew will be enforced by the on-site security team. Failure to comply may result in removal from the campsite without refund.
Fires & Barbecues
- Open fires and wood burning are not permitted
- Charcoal barbecues are allowed if raised off the ground and safely contained
- Use may be restricted during dry weather conditions
Gazebos
Gazebos are permitted within your allocated pitch and must be safely secured.
They are erected at the owner’s risk, and any damage caused is the responsibility of the team.
Generators & Power
Each campsite booking includes one 16A electric power supply.
Teams are advised to bring a 16A to 13A adaptor. A limited number will be available at check-in on a first come, first served basis, subject to a £50 refundable deposit.
Diesel generators are only permitted with prior approval and may operate between 07:00–23:00. Petrol generators are not permitted.
Pitches & Safety
You must pitch within your allocated area. Fire lanes must remain clear at all times to allow emergency access.
Any obstructions may be removed if necessary.
Vehicles
Vehicle access is permitted for unloading/loading only. Vehicles must then be moved to the designated car park.
Tent Hire
Tents are available on a first come, first served basis.
Teams are responsible for the care of any hired tents. Separate tent hire T&Cs will apply.
Any damage or excessive soiling may result in additional charges. Please ensure tents are cleared of all belongings and waste before departure.
Facilities
Toilet and shower facilities, including accessible units, will be available on-site.
Security & Safeguarding
Security staff are located on-site and can be contacted via the security hut or hotline displayed in campsite facilities.
Safeguarding contact details will be shared in your welcome information and displayed on-site.
Medical
Medical support will be available on the campsite during designated hours (final schedule to be confirmed).
Outside of these hours:
- For non-urgent issues, please attend the circuit medical facilities
- For emergencies, call 999 and inform campsite staff immediately
A member of staff will be present at Reception at the main campsite entrance 24 hours a day from 17:30 on Monday 13 July until 12:00 on Monday 20 July.
Alcohol, Drugs & Conduct
The following are strictly prohibited:
- Illegal drug use at any time
- Alcohol consumption in restricted areas or before driving/participation in activities
- Behaviour that causes damage, risk, or reputational harm
- Smoking or vaping outside designated areas
The IMechE operates a zero tolerance policy. Breaches may result in removal from the event and escalation where appropriate.
Important
Engineering work on vehicles is not permitted at the campsite. Formula Student cars and components must not be brought onto the campsite. Any breach may result in removal from the campsite.
Liability
The Institution of Mechanical Engineers and campsite operators accept no responsibility for loss or damage to vehicles, property, or personal belongings.
Weather
Please ensure you bring appropriate clothing and equipment for UK weather conditions.
Data Protection
Information provided will be used to manage your booking and attendance at the event, in line with the IMechE Privacy Policy.
